About the team

Recruiting depends on systems that work reliably for recruiters, hiring managers, interviewers, and candidates. The Recruiting Systems Operations Administrator helps keep those systems running and improves the support experience around them.

You’ll work closely with Recruiting Operations, Global People Operations, and People Systems. This role supports a clear division of work between routine service delivery and the system governance, integrations, complex configuration, and strategic work owned by Recruiting Systems.

What you’ll do

Working CDMX business hours while partnering across Americas time zones, you’ll manage a defined Tier 2 Recruiting Systems portfolio. You’ll troubleshoot tool issues, resolve requests, track recurring problems, and partner with People Systems on improvements. This hands-on role is well suited to someone who enjoys working across systems, applying sound judgment within established processes, and making complex operations easier for others.

Responsibilities

• Manage and resolve Tier 2 support requests through established channels, maintaining clear requester updates, case records, and handoff notes
• Troubleshoot recruiting systems, including DocuSign, Gem, LinkedIn Talent Insights, HackerRank, Harver, BrightHire, Qualtrics, Eightfold, Greenhouse, and related platforms
• Process recruiting workflow requests, including assessment updates, job-posting changes, candidate-record updates, approved offer amendments, requisition pooling and unpooling, and requests to keep jobs open temporarily or close inactive jobs
• Monitor request volume, aging, service-level expectations, and recurring issues to identify risks and opportunities to improve support
• Create and improve runbooks, templates, knowledge-base content, intake forms, and self-service guidance based on common request patterns
• Participate in release testing, validation, quality reviews, recurring Recruiting operations cycles, and reviews of queue trends, documentation gaps, and operational risks
• Partner with People Systems administrators on releases and support priorities, providing complete handoffs when requests require expertise in areas such as complex configuration, integrations, reporting, privacy, security, policy interpretation, or permissions

Minimum requirements

• Experience in recruiting operations, People operations, service delivery, systems support, customer support, or a similar operations environment, including managing a request queue, ticketing system, or case-management process
• Ability to troubleshoot system issues, follow defined processes, document work clearly, and identify when escalation is needed
• Strong attention to detail, organization, follow-through, and the ability to prioritize competing requests while providing clear, timely updates
• Experience handling confidential candidate, recruiting, or employee information with discretion, and comfort learning enterprise systems and working across multiple tools
• Experience with Jira, Salesforce, or a comparable ticketing or case-management tool, and professional fluency in English

Preferred qualifications

• Experience with Greenhouse or another applicant tracking system
• Experience supporting recruiting technology such as BrightHire, LinkedIn Recruiter, LinkedIn Talent Insights, GoodTime, Gem, HackerRank, DocuSign, Qualtrics, Harver, or Eightfold
• Experience in Recruiting Operations, Talent Acquisition Coordination, People Systems, or software-as-a-service administration
• Experience supporting offer processes, job-posting management, interview operations, or recruiter onboarding
• Experience creating or maintaining standard operating procedures, runbooks, and knowledge articles
• Basic spreadsheet, reporting, or data-quality skills
• Familiarity with service-level agreements, queue metrics, audit controls, or release testing
• Spanish fluency

What success looks like in your first six months

• Independently manage your Tier 2 support portfolio with prompt resolutions and clear status updates
• Provide reliable coverage across Americas time zones and set transparent escalation expectations for recruiters and partners
• Resolve standard issues across DocuSign, Gem, LinkedIn Talent Insights, HackerRank, Harver, and Greenhouse
• Escalate Tier 3 requests to the correct People Systems owner with complete context
• Maintain accurate ticket records, handoffs, runbooks, and knowledge-base guides that improve self-service
• Improve the reliability of recruiting technology for recruiters, hiring managers, interviewers, and candidates
• Build the platform knowledge needed to take on additional approved support responsibilities over time
