As a Global People & Workplace Specialist, you will play a key role in supporting payroll, benefits, and workplace experience for our global team, with a particular focus on our UK-based employees. You will work closely with the People Operations team and cross-functional partners, including Finance, to ensure accurate and timely payroll and benefits administration while also helping create a smooth, engaging, and well-supported workplace experience.
Reporting to the Senior Payroll & Benefits Analyst, you will be an integral member of the People Operations team and will support a broad range of high-priority operational initiatives. This role combines detail-oriented payroll and benefits administration with hands-on workplace and employee experience responsibilities, providing essential services that directly impact employees’ day-to-day experience.
This is a hybrid role, requiring three days per week in our London office.
Responsibilities
Manage end-to-end payroll operations in Workday and Deel, including monthly international payroll processing, timesheets, time-off administration, expense approvals, pension remittances, payroll reporting, and related reconciliations
Develop, maintain, and continuously improve payroll, benefits, HR, and workplace processes, procedures, controls, and documentation to support accuracy, efficiency, and scalability
Ensure compliance with applicable payroll and benefits regulations, including tax, pension, and other statutory requirements
Support the day-to-day administration of employee benefit programs, including medical, dental, vision, pension, Cycle to Work Scheme, and other regional benefits
Partner on annual benefits initiatives, including renewals, vendor evaluations, employee engagement initiatives, and other benefits-related projects
Conduct regular audits of payroll, benefits, HR data, invoices, and related programs, identifying and resolving discrepancies accurately and promptly
Partner closely with the People Operations team to ensure accurate and timely processing of new hires, transfers, promotions, terminations, and other employee lifecycle changes
Process and validate employee changes related to tax withholdings, benefit elections, direct deposits, and other payroll or HR updates
Review, reconcile, and approve payroll-, benefits-, and workplace-related invoices and expenses
Source, evaluate, onboard, and manage vendors across payroll, benefits, workplace services, facilities, food and beverage, and employee programs
Oversee day-to-day workplace operations to ensure shared spaces are clean, organized, well stocked, and operating smoothly
Develop and manage workplace and employee experience programs, including office lunches, snacks, swag, onboarding support, team gatherings, and company events
Plan and execute employee events and workplace initiatives that support engagement, connection, and a positive employee experience
Lead facilities projects and coordinate maintenance, repairs, office improvements, and other operational needs
Monitor office space utilization, manage workplace inventory, and maintain organized systems that can scale as the company grows
Build strong cross-functional relationships and serve as an approachable onsite resource for employees, helping connect workplace operations with broader People and HR needs
Serve as a primary resource for employees on payroll, benefits, and workplace-related questions, providing timely, thoughtful, and accurate support
Requirements
2+ years of experience in payroll, benefits, People Operations, or a related HR operations function, including hands-on responsibility for payroll processing and benefits administration
Experience supporting payroll and/or benefits in the UK, with demonstrated ability to manage differing local requirements, vendors, and processes
Strong working knowledge of payroll and benefits compliance requirements, including payroll taxes, statutory benefits, pension requirements, and applicable employment regulations in the UK
Exceptional attention to detail and demonstrated ability to handle sensitive employee and payroll information accurately and confidentially
Strong employee service and communication skills, with the ability to clearly explain payroll, benefits, and HR-related information and resolve employee questions effectively
Experience managing external vendors and coordinating across internal teams to deliver payroll, benefits, workplace, or employee programs
Ability to manage multiple priorities and recurring deadlines while maintaining accuracy in a fast-paced environment
Hands-on experience with Workday or a comparable HRIS/payroll platform, including employee data maintenance, reporting, audits, and payroll-related processes is preferred
Experience supporting workplace operations, employee experience programs, facilities, events, or office vendors is a plus
Experience with global benefits programs, international payroll vendors, or Employer of Record (EOR) arrangements is a plus
Experience supporting a growing or scaling organization is preferred
Bachelor’s degree in Human Resources, Business Administration, Finance, Accounting, or a related field, or equivalent practical experience
