Payroll Analyst at Vonage

Why this role matters:

We are looking for a Payroll Analyst with approximately 3–5 years of hands-on payroll experience to join the Global Payroll Operations & Transformation team. The role will support the accurate and timely processing of approximately 4–5 payrolls across APAC and/or EMEA, while also providing reporting, data analysis and operational support for Vonage Global Payroll.

The successful candidate will have a good understanding of end-to-end payroll activities, including payroll inputs, gross- to-net calculations, payroll accumulations, deductions, benefits, taxes, payroll outputs, reconciliations and post-payroll activities. The role is intended to be hands-on and development-focused, with the individual working under established processes and controls and escalating complex issues when required.

The role will also support Project Elevate through payroll testing, parallel runs, data validation, issue tracking and process documentation. A key responsibility will be preparing and maintaining Vonage payroll reports and dashboards to provide clear visibility of payroll performance, exceptions, trends, controls and key operational metrics.

Your key responsibilities:

End-to-End Payroll Operations

• Support the end-to-end payroll processing cycle for approximately 4–5 payrolls across APAC/EMEA.
• Follow agreed payroll calendars, cut-offs, SLAs, SOPs and internal controls.
• Review payroll inputs including new hires, terminations, salary changes, promotions, bonuses, benefits, deductions, leave and other payroll-impacting transactions.
• Perform payroll validation and reasonableness checks before payroll approval.
• Review gross-to-net calculations, payroll registers, variance reports and final payroll outputs.
• Identify, investigate and escalate payroll discrepancies and support timely resolution.
• Support off-cycle payrolls, retroactive adjustments and payroll corrections where required.
• Maintain accurate payroll documentation and evidence throughout the payroll cycle.

Payroll Accumulations, YTD & Reconciliation

• Review and validate payroll accumulations, YTD balances and payroll history.
• Validate tax, social security, benefits and other statutory accumulations.
• Support reconciliation of payroll balances between payroll, HR/HRIS and other relevant data sources.
• Investigate differences and work with the appropriate team or vendor to resolve them.
• Validate the impact of retroactive transactions, corrections and off-cycle payrolls.
• Support year-end payroll reconciliation and reporting activities.

Payroll Controls & Quality Checks

• Perform standard pre-payroll and post-payroll control checks.
• Complete payroll variance and exception analysis using established procedures.
• Review significant payroll movements and escalate unusual items for further investigation.
• Reconcile payroll outputs against HR, Finance and vendor data where required.
• Maintain payroll checklists, control documentation and process evidence.
• Support internal and external payroll audits by providing accurate documentation.

Cross-Country Backup & Team Support

• Provide backup support for other Payroll Analysts during planned or unplanned leave.
• Build working knowledge of additional APAC/EMEA payrolls to provide basic operational coverage.
• Support payroll continuity during periods of high workload or critical payroll activity.
• Follow documented SOPs, checklists and country-specific payroll procedures.
• Participate in knowledge-sharing and cross-training activities across the payroll team.

Vonage Payroll Reporting, Analytics & Dashboards

• Prepare recurring payroll reports for Vonage Global Payroll and relevant stakeholders.
• Maintain payroll dashboards providing visibility of key payroll activities, status, exceptions and operational metrics.
• Create and maintain reports covering payroll status, payroll calendars, variances, off-cycle activity, errors/issues, reconciliations and other agreed KPIs.
• Perform payroll trend, variance and exception analysis and highlight significant movements or recurring issues.
• Support preparation of monthly, quarterly and ad-hoc management reports.
• Maintain reporting trackers and ensure data is accurate, complete and delivered within agreed timelines.
• Use Excel to consolidate and analyze payroll data and present information in a clear, management-friendly format.
• Support the development and improvement of standardized Vonage payroll dashboards and reporting templates.
• Where applicable, support Power BI, Power Query or other Microsoft 365 reporting solutions.

Project Elevate – Parallel Payroll, Testing & Transformation Support

• Support payroll parallel runs and comparison of current-state and future-state payroll results.
• Perform payroll data and output validation during parallel processing.
• Compare earnings, deductions, taxes, benefits, accumulations and other payroll components.
• Document variances and support investigation of payroll defects and data issues.
• Participate in system, integration, configuration and end-to-end payroll testing.
• Validate employee master data and payroll-impacting transactions flowing from HR/HRIS into payroll.
• Support SuccessFactors/payroll integration testing and regression testing.
• Execute test scripts, document defects, track issues and support retesting.
• Support transition, cutover and go-live readiness activities as required.
• Maintain and update process documentation, SOPs and checklists.

Payroll Vendor & Stakeholder Support

• Work with payroll vendors to support accurate and timely payroll delivery.
• Review and validate vendor payroll outputs and supporting reports.
• Track payroll issues and follow up on outstanding actions with vendors and internal stakeholders.
• Escalate recurring or high-risk issues to the appropriate Payroll lead.
• Work collaboratively with Payroll, HR, HRIS, Finance, Tax, Benefits, Technology and vendors.

SuccessFactors / HRIS

• Develop a working understanding of employee data flowing from SuccessFactors/HRIS into payroll.
• Validate employee master data and payroll-impacting transactions.
• Identify and escalate data/interface issues affecting payroll.
• Support SuccessFactors and payroll integration testing and system enhancements.

Excel, Microsoft 365 & Process Improvement

• Use Excel for payroll analysis, reconciliation, reporting and data validation.
• Demonstrate practical capability with Pivot Tables, XLOOKUP/VLOOKUP, SUMIFS/COUNTIFS, filters and conditional logic.
• Use data validation and data-cleansing techniques to improve reporting quality.
• Support Power Query, Power BI, Power Automate or other Microsoft 365 initiatives where applicable.
• Identify simple opportunities to reduce manual work and improve payroll reporting and controls.
• Contribute to standardized payroll processes, SOPs, checklists and knowledge documentation.

What you'll bring

Required:

• Minimum of 5+ years of hands-on core payroll experience.
• Good understanding of the end-to-end payroll lifecycle.
• Experience supporting or processing payroll independently within established processes.
• Ability to support multiple payrolls and manage competing payroll deadlines.
• Experience with payroll validation, reconciliation and variance analysis.
• Good understanding of payroll accumulations, YTD balances and payroll adjustments.
• Working knowledge of gross-to-net calculations, earnings, deductions, taxes and benefits.
• Strong Excel skills and good working knowledge of Microsoft 365.
• Strong attention to detail and numerical accuracy.
• Ability to work with confidential payroll and employee information.
• Good communication, teamwork and problem-solving skills.

Experience we consider a plus:

• Experience with SAP SuccessFactors or another HRIS/payroll platform.
• Experience with multi-country or global payroll.
• Experience supporting APAC and/or EMEA payrolls.
• Experience with payroll parallel runs, system testing or payroll implementation.

Role Expectations

This is a hands-on Payroll Analyst role focused primarily on accurate payroll delivery, reporting and operational support. The successful candidate is expected to follow established processes and controls, take ownership of assigned activities, ask questions and escalate complex issues appropriately. The individual should be comfortable working with multiple payrolls, preparing Vonage payroll reports and dashboards, supporting colleagues when required and contributing to Project Elevate and other payroll improvement initiatives.
